Before rent is due (the ones that do the real work)

Template 1 — The standard 3-day nudge Hi [First name], friendly reminder that rent ($[amount]) is due [Month] 1st. Pay any time before then via [payment method]. Thanks! — [Your name]

Template 2 — The weekend-aware nudge Hi [First name], rent ($[amount]) is due Monday the 1st. Since it's a weekend, feel free to send it Friday so it posts on time. Thanks as always! — [Your name]

Template 3 — For your reliable tenants Hi [First name], quick reminder rent's due on the 1st — you're always on time, so this is just my monthly routine. Have a great week! — [Your name]

Template 4 — First month with a new tenant Hi [First name], welcome again! Reminder: first full month's rent ($[amount]) is due [date] via [payment method]. Any questions about the payment setup, just reply here. — [Your name]

Why three days? Close enough that it's not forgotten again, far enough that people can move money between accounts. If a tenant gets paid on specific dates, time the reminder just after payday — the single most effective adjustment you can make.

On the due date

Template 5 — Due today, neutral Hi [First name], reminder that rent is due today. If you've already sent it — thank you, ignore this! Otherwise: [payment method/link]. — [Your name]

Template 6 — Due today, grace period stated Hi [First name], rent's due today. As a reminder, the lease allows until the [date] before a late fee applies. [Payment method/link]. Thanks! — [Your name]

The "ignore this if you've paid" line matters more than it looks: it makes the message safe to send to everyone, which means you can send it every month without checking who's paid first — or feeling like you're accusing anyone.

After the due date (firm, fair, documented)

One important note: texts are great for reminders, but once you're into formal territory — pay-or-quit notices, lease enforcement — follow your state's requirements for written notice, which usually mean more than a text. Reminders prevent that road; they don't replace it.

Sending etiquette (the part templates can't do)

Send at humane hours. Late morning or early evening. A 7 AM rent reminder starts the month with resentment.
Be consistent. The same reminder on the same day every month stops feeling personal and starts feeling like infrastructure — which is exactly what you want.
Get consent once. Ask tenants (ideally at lease signing) to confirm texting is okay, and honor any request to stop. It's both courteous and consistent with US texting rules.
Never negotiate by memory. If a text thread turns into a payment plan, summarize it in writing (email works) so both sides have the same record.
